1. Who We Are

FirmPulse.ai is a product of FirmMatters, a Canadian LegalTech and FinTech advisory firm. We operate FirmPulse.ai as a web-based analytics and reporting platform for law firms using Soluno and Actionstep legal accounting software.

2. What Data We Collect

We process report exports you upload, account information required to provide the service, subscription/billing metadata, and limited operational usage data. We do not store full payment card numbers.

By default, upload flows apply privacy-first controls designed to hide firm, client, and lawyer names in report outputs unless you explicitly choose to unhide those categories in supported upload screens.

Name masking is best-effort and depends on source file structure and formatting.

3. How We Use Your Data

We use your data to provide analytics reports, manage account and subscription operations, maintain platform security, support users, and improve product quality using aggregate patterns.

We do not use your data for advertising, do not sell your data, and do not allow third parties to use your data for their own purposes.

4. AI-Powered Analysis (Opt-In)

AI analysis is optional and only runs when you explicitly request it using in-product AI analysis actions. FirmPulse uses Anthropic Claude for this feature.

Standard report generation works without AI. AI is not continuously monitoring your data in the background.

5. Data Ownership

You retain ownership of data you upload. You grant FirmMatters a limited license to process that data solely to provide FirmPulse services.

6. Security

We use encryption in transit, platform access controls, operational monitoring, and confidentiality obligations for personnel with production access.

7. Data Retention

We retain data for as long as needed to provide the service and meet legal obligations. You can request deletion by contacting us.

8. Sharing and Disclosure

We do not sell or rent your data. We may disclose data only to essential service providers (for example hosting and Stripe), to Anthropic when AI analysis is explicitly used, where legally required, or in connection with a business transfer.

9. Cookies and Tracking

FirmPulse uses cookies/similar technologies for sessions, preferences, and aggregate usage analysis. We do not use ad tracking or sell profile data.

10. Your Rights

You may request access, correction, deletion, and other rights as available under applicable law by contacting us at firmmatters.net/contact.html.

11. Children's Privacy

FirmPulse is a professional B2B platform and is not intended for use by individuals under 18.

12. Policy Updates

We may update this policy from time to time. Material changes will be communicated by email or in-product notice.
